About the role:

The International School in Moscow is currently looking for an HR Manager (HR Records Keeping Block) with a strong knowledge of 1C: ZUP. It is important that your level of English is sufficient for preparing bilingual documents and communicating with employees both in writing and verbally. We would greatly appreciate it if you could review the other requirements and the role description before submitting your application.

Reporting to: Head of HR

Personnel Management:

  • Developing and improving personnel documentation, including local regulations, policies, employment contracts, additional agreements, and other documents in accordance with the current requirements of Russian legislation.
  • Maintaining a full cycle of personnel records management in 1C: ZUP СORP, Edition 3.1 (approximately 250 employees).
  • Ensuring that the monthly closing process is completed according to the approved schedule and that employees are paid in a timely manner.
  • Creating, issuing, and signing HR documents with employees; maintaining physical and digital employees’ files; ensuring the timely archiving of personnel documentation.
  • Maintaining employment record books – hiring, dismissal, transfer to another position, transfer to another organisation within the group of companies.
  • Developing job descriptions together with the Line Manager / Heads of Department.
  • Participating in the transition to personnel electronic document management (collecting employee consents, executing additional agreements, registering of Non-Qualified Electronic Signature for employees, setting up document flow routes).
  • Preparing employment letters and copies of labour documents for employees upon their request.
  • Opening bank accounts, including / excluding employees from the payroll project, and ensuring that the right service packages are used for each employee category.
  • Consulting employees and their managers on maternity matters and benefits to which they are eligible; keeping records of substitute employees (fixed-term employment contracts).
  • Participating in internal and external audits, preparing documents for inspections by regulatory authorities.

Administrative Support for the Work of Foreign Citizens:

  • Preparing and submitting notifications about hiring and terminating foreign nationals and paying salaries to HQS (Highly Qualified Specialists) to the Ministry of Internal Affairs.
  • Drafting employment contracts in accordance with the requirements established by the Migration legislation.
  • Monitoring the tax statuses of foreign citizens, including monthly analysis of the number of days spent in the Russian Federation, requesting supporting documents from employees, and keeping records of them.

Reporting:

  • Preparing and submitting personnel reports to SFR, Rosstat, TsZN.
  • Preparing formal responses to requests of regulatory authorities regarding issues related to HR processes.
  • Generating customised reports and spreadsheets as requested.

Requirements:

  • Experience in HR administration and paperwork.
  • Knowledge of labour legislation and other acts containing labour law norms.
  • Understanding the basics of migration legislation and regulatory legal acts regulating public relations in the field of migration in the Russian Federation.
  • Fluency in Russian and English – both written and oral.
  • Knowledge of the basics of business writing and corporate ethics.
  • Advanced user of 1C: ZUP and MS Office; knowledge of SAP would be beneficial.
  • Willingness to obtain a personal digital signature for submitting mandatory report.
